This Privacy Policy outlines how Dentaid S.L (hereinafter referred to as “Dentaid”) processes information from suppliers, customers and website users. It applies to all categories of personal data collected and generated by Dentaid, whether in automated or non-automated formats (hereinafter referred to as “Personal Information”).
Dentaid considers the privacy of individuals to be essential, whether they are Website users or other affected individuals who provide us with information.
In this regard, Dentaid undertakes to comply with the provisions of Organic Law 3/2018, of December 5, on the Protection of Personal Data and Guarantee of Digital Rights (“LOPDGDD”), as well as Regulation (EU) 2016/679, of April 27, 2016, of the European Parliament and of the Council concerning the protection of natural persons in the processing of personal data and the free movement of such data, which repeals Directive 95/46/EC (“GDPR”) and any other applicable regulations.

2. To whom does this Privacy Policy apply?

This policy applies to Personal Information relating to natural persons (hereinafter referred to as “Interested Parties”) within the following categories:
- Website users: oral health professionals or other users who visit the Dentaid Website.
- Suppliers: any supplier, service provider or former supplier of Dentaid.
- Customers: any Dentaid customer or potential customer.
This policy is not applicable to Dentaid employees. Employees are understood to be: permanent staff, temporary workers, seconded workers, agents or former employees. It also does not apply to candidates applying for a job at Dentaid

3. What are the purposes and legal basis for the processing of your data?

We process the data you provide us for the following purposes:
Purposes:
- Ensure the proper technical functioning of the Website and, if authorised as described in our Cookies Policy.
- Respond to, address and manage inquiries, questions and/or requests made by Interested Parties;
- Send electronic communications related to the services and products offered by Dentaid;
- Receive information about courses, events and announcements;
- Manage the participation of Interested Parties in promotional campaigns they have previously registered for and, if they have granted us permission and been selected as winners, publish their personal data on Dentaid’s website and social media platforms;
- Manage registration for training courses offered through AULA Dentaid or other Dentaid training platforms.
- Carry out service delivery, management, and billing, as well as monitor and maintain information related to the contractual activity between Dentaid and the Customer or Supplier.
- Carry out quality control, research and marketing activities, such as, for example: sending market research studies or satisfaction surveys;
- Select suppliers and customers;
- Negotiate or execute contracts; and
- Provide a service or ensure its fulfilment.

- Where applicable, professional and academic data; and
- Any personal data provided during a telephone conversation or through messages using automated communication systems or web forms.

- Name, postal address, telephone number, mobile phone number; personal email address;
- Date of Birth;
- Passport number or Tax Identification Number;
- Professional Identification;
- Details of employment or relationship conditions; Contractor Agreement; Correspondence and other information provided to Dentaid; and
- Bank Details.
Legal Basis (Website Users):
Consent (Art. 6.1.a GDPR); existence of a pre-contractual and/or contractual relationship (Art. 6.1.b GDPR); and when necessary for the satisfaction of legitimate interests pursued by Dentaid with the aim of ensuring that its activity is managed efficiently (Art. 6.1.f GDPR).
Legal Basis (Customers and Suppliers):
Existence of a pre-contractual and/or contractual relationship (Art. 6.1.b GDPR); processing is necessary for compliance with a legal obligation applicable to Dentaid or is required by law (Art. 6.1.c GDPR); and when necessary for the satisfaction of legitimate interests pursued by Dentaid with the aim of ensuring that its activity is managed efficiently (Art. 6.1.f GDPR).

4. How did we obtain your data?

We process your personal data based on your relationship with Dentaid, as permitted or required by applicable Law, and the legal bases identified above.
The data we obtain is recorded through the forms and applications provided by the interested party (for example: specific section of the website, in writing to a member of our staff during events, courses or webinars, etc.) However, Dentaid may occasionally obtain personal data from third parties, including when we receive contact data for marketing purposes or when required by law. In these cases, we inform the Data Subjects of this Privacy Policy and of the use of the data at the time of the first contact or no later than one month after receiving the personal data.

5. How long will we keep your data?

We will retain your data for as long as your relationship with Dentaid remains active. After its termination, we will keep it for the necessary period to address any claims, as well as to fulfil legal and contractual obligations, always ensuring the data is properly blocked.
If you contact us through the contact form or email, we will process your personal data for the time needed to respond to your query or request.
If you consent to receiving information about our services, we will process your data until you notify us otherwise.

6. Who may receive the data communication?

To meet our contractual obligations, fulfil legal requirements, or based on our legitimate interests in ensuring the proper conduct of our activities, the following parties may have access to the information provided, without distinction:
- Authorised Dentaid personnel or their representatives acting on behalf of Dentaid, subject to the applicable data protection laws;
- Companies of the Dentaid GROUP: We may transfer personal data to another entity within the Dentaid Group or to one of our service providers for purposes related to your relationship with Dentaid, and only to the extent necessary for those purposes. - Market research companies to manage the market studies promoted by Dentaid. Specifically: TAYLOR NELSON SOFRES, S.A.U., with registered office at Camí de Can Calders nº4, 08173 Sant Cugat del Vallès (Barcelona).
- Regulatory Authorities or other third parties in accordance with applicable laws;
- Third parties (service providers who process information as data processors and following Dentaid's instructions), only after implementing the necessary measures to ensure that sharing such information is permissible, and having entered into the appropriate data processing agreement, in accordance with applicable data protection laws.
In addition, personal data may be processed outside the European Economic Area (EEA). When processed outside the EEA, Dentaid will ensure that this cross-border data processing is protected with the appropriate safeguards.
Such safeguards may include:
a. Standard Contractual Clauses approved by the European Commission. These standardised clauses provide sufficient guarantees to ensure that the adequacy and security requirements established by the GDPR are met; or
b. Certifications demonstrating that third parties located outside the EEA process personal data in a manner consistent with the GDPR. These certifications are approved either by the European Commission, or by a competent supervisory authority, or by a competent national accreditation body in accordance with the GDPR.

7. What are your rights when you provide us with your data?

  • Right to request access to personal data: you may request that Dentaid inform you if it is processing your data and, if so, to access it.
    - Right to request the amendment or correction of your personal data that is proven to be inaccurate or incomplete.
    - Right to request the deletion of your data.
    - Right to request the limitation of its processing: in this case, we will only retain it for the exercise or defence of complaints.
    - Right to object to the collection and processing of your personal data.
    - Right to move, copy or transmit your data if the user wants their data to be processed by another data controller.
    - Right not to be subject to a decision based solely on the automated processing of your personal data.
    If you have given consent for a specific purpose, you may withdraw it at any time, without this affecting the legality of the processing based on the consent prior to its withdrawal.

8. How do we protect your personal data?

To ensure the security of your information, Dentaid implements a range of technical and organisational measures to maintain an appropriate level of security, in compliance with applicable regulations. Dentaid takes the necessary technical and organisational precautions during both the design of its data processing systems and the actual processing stages to preserve security and prevent unauthorised processing. However, it is important to note that, despite the careful implementation of such measures, internet security cannot be guaranteed to be completely impermeable. Dentaid is not responsible for any actions by third parties who may access this data in violation of these protective measures.

9. Confidentiality

Dentaid requires its employees to handle personal data with the utmost confidentiality. Failure to comply with this obligation, such as unauthorised, inappropriate or excessive disclosure of personal data, will be considered a serious offence and will be dealt with in accordance with the Company's disciplinary procedures.

The Website may contain links to other websites. In this regard, Dentaid is not responsible for the privacy or data processing practices of other websites; therefore, we recommend reviewing the privacy policies and data processing practices of any external sites you access through our Website or visit in other ways.

11. Social Media

Dentaid is active on several major social media platforms and serves as the data controller for the content published by Dentaid.
Dentaid will process data on each social media platform in accordance with the rules set for this purpose by each social network. Unless otherwise stated by Dentaid, we may use these platforms to inform our followers about our activities, events, and related topics, including providing support via the social network's available channels.
Dentaid will not extract personal data from social media platforms without the user’s explicit consent.

12. Amendments and integrity of our Privacy Policy

We will only use your personal data in accordance with the Privacy Policy in effect at the time your personal data is collected.
